The Virginia City Hillclimb (“VCHC,” “we,” “us”) is a volunteer-run automotive driving event. This policy explains what personal information we collect through this website, why we collect it, who we share it with, and how we protect it. We collect only the information we need to operate the event, and we do not sell or rent your information to anyone.
Information We Collect
Account information. When you create an account, we collect your email address and a password. Passwords are never stored in readable form; they are stored as a one-way cryptographic hash. We also generate short-lived email verification codes to confirm your address.
Registration details. When you register for the event, we collect your name, contact information (email, phone numbers, mailing address), emergency contact names and phone numbers, vehicle information (year, make, model, color, and VIN), insurance carrier and policy number, vehicle modifications, run class, driving experience, t-shirt size, lodging selection, and dinner guest counts and names.
Payment information. When you pay for your registration, your card details are entered directly with our payment processor. We do not see or store your full card number. We retain your registration total, any discount code applied, and the payment status.
Contact messages. If you use our contact form, we collect the name, email address, and message you submit so we can respond.
How We Use Your Information

- •To communicate with you about your registration, the event, and your account (for example, confirmation, verification, and password-reset emails).
- •To process payment for your registration.
- •To plan and run the event safely, including vehicle and insurance verification, emergency contact records, and logistics such as dinners and apparel.
- •To protect our forms from spam and abuse, and to meet legal and regulatory obligations.
How We Share Your Information
We do not sell, rent, or trade your personal information. We share it only as needed to run the event:
- •Event staff and volunteers who organize and operate the Hillclimb.
- •Service providers that help us operate the website, each acting on our behalf and only for the purposes described here: Stripe for payment processing, Resend for sending email, and Cloudflare (Turnstile) for spam and bot protection on our forms.
- •Legal and safety authorities when required by law, or when necessary to protect the safety of participants and the public.
How We Protect Your Information
We use reasonable measures to safeguard your information. Traffic to this website is encrypted in transit using HTTPS. Account passwords are stored only as one-way hashes, and login sessions use encrypted cookies. Access to registration data is limited to event administrators. No method of transmission or storage is perfectly secure, but we take care to protect the information you entrust to us.
Data Retention
We keep your information for as long as needed to operate the event, manage your account, and maintain reasonable records (for example, payment and registration history). You may ask us to delete your information, and we will do so unless we are required to retain it.
Your Choices
You may review and update your registration details by signing in to your account. You may also request access to, correction of, or deletion of your personal information by contacting us through our contact page.
Children’s Privacy
This website and its accounts are intended for adults who register for or support the event. We do not knowingly collect personal information from children through this website. Minors do not participate in the event and are not permitted to register, drive, or ride as passengers.
Changes to This Policy
We may update this policy from time to time. When we do, we will revise the “Last updated” date at the top of this page.
